Guide: Microsoft Forms vs Google Forms: Comparison and Review

Until a few years ago, Google Forms was the de facto survey and poll creation service. The easy-to-understand interface was popular with those who were not well versed in the technical side of things. In January, Microsoft launched Microsoft Forms, a service to create surveys, polls and quizzes. Therefore, it only makes sense to both compare the services and determine which one is best suited to your needs. So we will compete against each other to compare them features and their upgrades. We start with the general features and then we move on to the unusual. Let the war between Microsoft Forms and Google Forms begin. Visit Microsoft Forms Visit Google Forms

Common Features

The primary functions of Google Forms and Microsoft are more or less the same and we’ll take a quick look at them.

Question and answer types

Various options and features are what separates good service from great. Google Form takes the lead as it offers a range of question types. From multiple choice answers and checkboxes to linear scale and text-based answers, it offers a lot.

These different elements make it easy to create a variety of quizzes and forms. Just click on those elements to add them. You can also easily separate a single form into multiple sections or add conditional logic. In short, there are a great number of options to meet all your needs.

Unfortunately, the response types in Microsoft Forms are quite limited. You only get six options, including multiple choices, text, ratings, and others.

Although Microsoft Forms does not support individual sections, you can add conditional logic, also known as branching.

Branching is not easily visible and you have to add it from the three dot menu.

Share and collaborate

When it comes to creating quizzes and surveys on Microsoft Form, you need an active Microsoft ID. Fortunately, anyone with a link can respond to it. And as for the sharing, you can share the link directly with the users or email them to them. You can also embed the form on any web page.

In addition, the standard version limits some of the featuresFirst, you can’t limit the audience to the people of your organization unless you have an Office 365 Education or Office 365 Commercial subscription. Likewise, you cannot add contributors if you are using the standard version. Google Forms also supports similar sharing features – you can email or share the link directly. But the (free) feature what steals the attention is Add Collaborators. You can add anyone with a working email address as a contributor.

You can also edit their access or prevent them from adding more people as contributors.

Templates

One of my main reasons for using Google Forms is its distinctive range of templates. From creating a text-based survey to creating an elegant invitation card, almost everything can be managed with this simple tool. All it takes is a click on the template gallery and the available templates are neatly displayed.

And true to the concept of templates, they have preset questions. You need to add or change the answer type or add a few more questions, and that’s it.

In contrast, Microsoft Forms struggles to hold up when it comes to templates. At the time of writing, I only saw three types: Form, Quiz, and Party Invitation.

Users can customize these templates to adapt them to their needs. So if you have visualized your form in a certain way, you have to invest your time and energy. There are no presets to help you with this.

Themes galore

What Microsoft Forms loses in the form of templates, it tries to make up with themes. Long story short, it includes plenty of graphic themes in various attractive hues. And the best part is that Microsoft Forms applies the theme to the entire form to improve the overall look and feel of the form.

In contrast, Google’s approach to themes seems a bit dated. You get the same old pastel themes and only the primary color is applied to the top part. Duh.

Fortunately, both services allow you to upload custom images. While Microsoft paints the entire background, Google only applies them to headers.

Embed video and other media

Do you often include videos and photos in your surveys and polls? If so, you may want to opt for Google Forms. While Microsoft Forms allows adding videos and images, they can only be done as part of questions. You cannot include them between the questions or as a separate section.

While it can serve the purpose for many but when it comes to creating birthday or party invitations it turns out to be a serious limitation. Interestingly, Google Forms allows you to insert images as part of questions. You can also add videos in a separate section. So if you want your form to start with a nice video before getting into the actual business, you can.

Both services allow you to add YouTube URLs and images from your computer.

Unusual Features

QR code

Whether it’s the clean interface or the cool graphic theme, Microsoft Forms has a slightly modern look. Part of this chic look is the inclusion of a QR-based sharing option.

It allows you to share a QR code with your respondents, making it incredibly easy for tablet and user users mobile users to comment.

In addition, surveyors can download the QR code or attach it to emails to make it easily accessible.

File upload

If you are a regular Google Forms user, you may remember the file upload feature was not common feature until. This essential feature makes it easy to keep track of school / school assignments. As with most Google services, the steps are easy to figure out.

As you may have understood, Microsoft Forms lacks that capability, making it a bit useless for assignments submission or a survey that needs document verification.

At the time of writing, many users shared feedback on the same in UserVoice. According to the team, Microsoft is working on the update.

Built-in spreadsheet support

Both services have spreadsheet support. Google Forms supports Sheets and MS Forms supports MS Excel. The difference is how they do the job of linking spreadsheets. The good news is that Google Forms stores everything in the cloud. Just tap on Responses to View Sheets button, and the respective sheet opens immediately.

While you can easily import the form data to Microsoft Excel, you will need to download the spreadsheet to your system. Again, your system must have an active Office Suite to access it.

In the worst case, if your system doesn’t have one, you will have to settle for the details in the Comments tab.

Response validation

On, Google has released a response validation update that checks responses before submitting. So if creators just want an email address or a URL, they can specify the same when they take the quiz, and it will be taken care of.

In addition, there is also the option to validate text-based answers and grades. For now, Microsoft Forms can only validate grades. It gives you the global option greater than, less than, etc.

Collect email addresses

Google Forms has a handy little one feature which allows you to collect email addresses from your form respondents.

It’s not mandatory, and creators can choose to use it when needed.

Interface: ease of use

When it comes to Google Forms, I think the interface is a bit dated. I mean you will find all the necessary elements and feature, but the overall impression is that of a system that has not been updated for a long time (in appearance).

In contrast, although Microsoft Forms lacks certain elements, it looks chic and modern, partly due to the use of attractive colors and neat graphics. But when it comes to accessibility, Google Forms is the winner. All tools are neatly divided into sections. Unfortunately, Microsoft’s uncluttered look can also end up confusing people, especially if they are new to it. The option to add branch is hidden under the three-dot menu, as is the option to add images / videos.

Who is the Survey Superstar?

With its versatile tools and features, Google Forms is the surveyor’s dream. From uploading documents to creating cool party templates, you can do just about anything with it, and with good reason. This service was launched a long time ago and has been useful ever since features such as Checkbox Grid and Response Validation have been added to it. On the contrary, it was just that Microsoft Forms was initially released. although features have found their way there, it leaves a lot to be desired. Hopefully, with regular updates, it will eventually take the place for the best survey and poll service.
