Guide: How to Mute/Unmute Participants on Microsoft Teams

Microsoft Teams has become a challenging competitor to Zoom, a video conferencing app. Zoom makes it quite easy to mute an individual participant or all members. Then you might wonder: does Microsoft Teams offer the same mute capabilities? We’ll tell you in this post how to Unmute and unmute attendees or participants in a Microsoft Teams meeting. The background noise from the members on the phone can be pretty distracting. Calling apps, especially video conferencing apps, require the administrator or organizer to mute all participants. Let’s see how to mute it feature works in Microsoft Teams and how to mute both yourself and other attendees or participants.

How to Mute all and individual participants

If you are a teacher and use Microsoft Teams to teach students online, you may want to mute all or some participants. Fortunately, you can easily mute all other participants with a single click.

Who can mute in Microsoft Teams call

You have to be careful in Microsoft Teams because any member of the team can mute others during a call. It doesn’t matter whether you made the call or not. You will find a solution for this at the end of this post how to stop or prevent participants from mute other members.

Mute participants on the desktop

To do this, click on the participant icon in the bottom toolbar when you are on a call.

You will see the list of participants. To mute an individual participant, hover your mouse over their name and click the three-dot icon. Select Mute participant.

To mute everyone, click the Mute All option.

Participants mute on Mobile App

During a call, tap the screen once to display the options toolbar. Then tap the participant icon at the top. On the next screen, tap and hold the name of the participant you want to mute. Select Mute participant.

To mute all members, tap Mute all.

How to Unmute participants in Microsoft Teams

You cannot unmute all or individual participants. Participants must unmute, as shown above.

Can you turn off Unmute for others?

No. You cannot prevent people from unmuting themselves during a group video call.

Important to know about muting in Microsoft Teams

Mute may look simple in other apps, but that’s not the case with Microsoft Teams. Much depends on your role in the meeting. Three roles are available in the Microsoft Teams meeting: organizer, presenter, and participant. The organizer is the one who creates a meeting and has all rights. By default, all participants are assigned the role of presenter. The presenter has the same rights as the organizer. Another presenter privilege is the ability to mute and unmute other attendees. Shocked? Well, it is true.

Anyone can mute others in the Microsoft Teams conversation. Hence, many people face the problem where participants mute or remove other members. That’s common in online classes, where students usually mute their teacher for fun. You may be wondering, what is the solution? Fortunately, there is one. You must change the role of all other members to Participants. After that, they lose the right to mute and remove other participants. Now only the organizer and presenter (if any) can mute others. To change the role of meeting participants, see the next section.

How to Prevent people from mute other participants

Here is how to change the role of participants on desktop and mobile apps so they cannot mute others. Note: The role of the organizer cannot be changed. Only the presenter or an organizer can change the role of others.

Change role on desktop

Open the ongoing meeting to change the role of participants on the desktop. Then click on the participant icon at the bottom.

When the list of participants opens, click the three-dot icon next to the name of the person whose role you want to change. Select Create a participant from the menu.

You have to do it separately for all members. All participants are then available in a separate section.

Note: The Mute all button is useful for presenters and participants.

Change role on Android and iOS

In a meeting, tap the attendee icon at the top. Tap and hold the name of the participant whose role you want to change. Select Create a participant.

Note: To change the role to Presenter, repeat the same steps and then choose to make someone a presenter.

How to Know who has been muted

On the desktop, you will see the mute icon next to the participant’s name during a call. If you cannot see all participants, tap the participant icon in the bottom toolbar. Any person on the right with the microphone icon with the bar over it means they are muted.

Likewise, you will also see the mute icon with the participant’s name on Android and iOS apps. To check everyone, tap the participant icon at the top. After that, you can see who is muted, as indicated by the blocked microphone icon.

Mute control on Microsoft Teams

Microsoft Teams isn’t just an alternative to Zoom or other similar video conferencing apps. It is an alternative to messaging apps such as Slack. So when a call is made, it is for a definitive purpose. Therefore, you are not given the option to unmute others. People have to cancel the sound of themselves. However, given the popularity of Teams for video conferencing, we hope Microsoft adds something better features like muting others and the ability to mute everyone from the start.
