Guide: Expensify vs Shoeboxed: Comparison and Review
Whether you are a private individual, part of an organization or a shop owner, you incur costs and you must be accountable for them. It’s so easy to forget an entry and so hard to remember where your salary has gone. This appears to be a universal problem and pretty much everyone I know is looking for a system to track expenses. While it is necessary to register every expense we make, it is also necessary to make the process easy and fast. The more difficult it is to record expenses, the more likely you are to avoid it. That’s why we’re going to take a look at two of the most popular expense tracking and management apps available in the market. Our mission, if we choose to accept it, will be to achieve one conclusion at the end of this post. Hopefully with a winner. The contenders are Expensify and Shoeboxed. Let’s find out which expense manager is right for you. Visit Expensify Visit Shoeboxed
1. Cross platform compatibility
This is one of the first things I check when looking for a new tool or app. Different people have different needs. Some like Android, while others swear by iOS. There are Windows users and there are those who like to access things in a browser. This situation is especially true when you work in a team.
Both Shoeboxed and Expensify are available on both Android and iOS platforms. You can also use them in any browser of your choice without any problems. This will help you keep your receipts in sync at all times.
2. Price overview
Another important factor to consider, especially if you’re looking for a scalable solution, is pricing. With hundreds and thousands of employees, the number of registrations and expenses can quickly go through the roof. Shoeboxed offers three primary plans. There is a freelancer plan (single user) that starts at $ 15 / month that allows you to scan and save up up to 50 documents / month. If you’re a small business or a young startup, go for the classic plan for $ 39 for two users, where you get up up to 150 documents / month. Finally, there is a business plan for $ 69 / month where you get 500 documents / month with 3 users. There is also a team plan that starts at $ 9.95 / user.
On the other hand, Expensify takes a simpler approach by limiting the number of available plans. Individual plan starts at $ 4.99 / month with no limit on scannable receipts. For teams, they have a $ 10 / user plan and then there is a business plan that starts at $ 18 / user. There is also a business solution that requires you to send an email or talk to a customer representative. Expensify has a free version with 10 scans / month, while Shoeboxed offers 5 documents / month with the free account. Not bad for testing the service.
3. User experience
Since most of us will be using smartphones to scan expense reports, that’s where I started. The shoebox app is not very easy to use. The interface was a bit complicated and sans features and guidesExpensify, on the other hand, has a clean and intuitive interface with an emphasis on simplicity and speed.
While I didn’t experience lag in either app, I was more happy to play with Expensify than Shoeboxed. Options were limited in the latter and there was no way to manage or change currencies. Some people have to travel abroad every now and then to attend meetings and what not. If location is enabled, Expensify will identify and change currencies immediately.
4. Features
The basic functionality remains the same. You scan an expense report and the app collects all the important details such as price, items, and quantity to create a digitized version of the receipt that syncs with your cloud account. While both apps had options to arrange receipts per ride, Expensify had a reports tab that will be very useful. How? Collect all receipts while on a business trip, create a report and submit it for approval. When it is cleared (direct deposit or PayPal) and you have been paid, you will be notified. That’s powerful and easy at the same time.
With Expensify, I was able to create categories to further classify my expenses such as food, transportation, and accommodation. We usually use our credit cards to make payments as it is cashless, quick and easy. Expensify also allowed me to import my credit card statement directly. Shoeboxed allows you to track mileage, but Expensify also allows you to track time, which can be useful if you’re trading hours for dollars. Additionally, Expensify comes with a daily allowance, where a person gets a daily allowance and you can use the app to track this on a daily basis.
Shoeboxed has one feature which Expensify is missing. If you have a bunch of receipts and don’t have time to scan, send them all in an envelope to Shoeboxed and they will scan and upload them to your account. This will help you catch up and help you up speed up.
5. Integration with third parties
Both Shoeboxed and Expensify integrate with a number of third-party apps and software, but Expensify is leading the race here. Both integrate with accounting software such as Quickbooks, Intuit and Xero, but Expensify also connects to Microsoft, Oracle, SAP, Bill.com, Uber, and several other popular services.
Expensify vs Shoeboxed: Verdict
By now, it seems like Shoeboxed is way behind when it comes to the best expense management app. I found Expensify to be good not only for freelancers, but also for startups, corporations and companies looking for a scalable enterprise solution. With no limit on the number of receipts that can be scanned, offline support, more third-party integration and a better user experience, Expensify has won this battle. But there are other contenders in the industry that I’ll cover later guide The next up: Are you going on a trip? Looking for travel expense management apps before you travel?
