Best Zoom Tips and Tricks to Begin Video Conferencing

Various video calling apps, such as Zoom, help people while they work home amid a pandemic. While there are plenty of other video conferencing apps available for all platforms, Zoom seems to be at the forefront. This guide is dedicated to Zoom tips and tricks, which should make meeting easy for beginners. Zoom allows users to join a meeting without first creating an account. This simple on-boarding process helped the app. Let’s take a look at what else it has to offer and How to get more out of it. Let’s start.

1. How to Use Zoom

It’s easy and fast. Just tap Join a meeting and enter the meeting ID to join a room. You should immediately see all participants. The steps are the same for web and desktop versions as well. The free version of zoom offers up up to 100 participants, audio and video calls, file and screen sharing. For meetings with three or more participants, a time limit of 40 minutes applies.

You can tap the Settings icon to make a few changes such as microphone, video previews, captions and more.

Click on login button to directly create an account with your Google, Facebook or SSO ID.

This is what I like about Zoom. A clean user interface with options to start / join meetings as soon as possible. Meet & Chat is where you can create / join / schedule meetings (more on that later). You can find your meeting ID under Meetings. Then there are Contacts and Settings.

2. How to Join a meeting

Tap Join button on the Meet & Chat tab to start the process. You will be asked to enter the Meeting ID, which you should have received from the host.

The host may have sent an email invitation, in which case the meeting ID or link will be included there. You can choose to join a meeting with or without audio or video.

3. How to Set Up a meeting

This time, let’s try the desktop app. Again, the UI experience is constant so there isn’t much of a difference here. Click on the new meeting button to start a meeting. Did you notice the little arrow next to it?

That’s where you can access the PMI settings. Each user has a personal meeting room associated with a personal meeting ID or PMI. This room is permanent and accessible at all times. Only share it with people you have regular contact with. With regular conference rooms, you need to send an invitation, but with PMI they can join immediately, at any time. I consider it convenience over privacy.

4. How to Planning a meeting

Click on the schedule button, and you are greeted with a pop-up

You can set the date, time and time zone of the meeting here. Choose a password so that only invited members can participate. Choose to create an agenda item and whether the meeting is a video or audio meeting. Click Advanced options at the bottom to record the meeting on a local computer for future use / recording.

5. How to Invite participants

There are so many ways to invite attendees to a Zoom meeting. You can start a new meeting and click Invite button to send invitations.

You can select contacts you have added or send email invitations with your favorite email provider.

You can also copy a meeting URL here and share it on a messenger app along with the password.

6. How to Record meeting

There are two primary ways to record a Zoom meeting. You can do it locally or in the cloud. Click the settings icon in the top right corner of the screen to start recording locally.

The Recording tab allows you to choose a local folder on your computer to save recorded Zoom meetings.

There are some useful options here, like the ability to add a timestamp to make it easier to find content, save audio files individually for each participant, and more. Check them out. I recommend having a test video call to make sure everything is working as you need before going live. Also, keep in mind that meeting recording settings differ for admins and groups.

If the meeting is in progress, click Record button to start recording. You should see an option to pause or stop recording in the top left corner of the screen. Cloud recording is enabled by default for all paying subscribers. Features and restrictions vary depending on the plan subscribed to.

7. How to Use breakout rooms in zoom

With Breakout Rooms, the host can create multiple sessions in a meeting and group participants into different sessions. He / she can then switch between these sessions and communicate with the appropriate group accordingly. Meant for the busy boss. Note that you must enable breakout rooms before you can create and manage one. The steps are detailed in the links above and differ slightly based on your user account and permissions granted.

8. How to Put your hand up

The raised hand feature In Zoom, participants in a video conference call can show that they can contribute or give their opinion, without interrupting everyone abruptly. Let’s try these on the mobile app for a change.

Connect to a meeting and tap Participants button to select your username.

You should now see an option called Raise Hand. Press it, go back to the main screen and you will see a hand icon. Everyone else, including the host, will also see one with your name next to it.

You can tap the More button button lower your hand when you feel that you have been listened to or no longer feel the need to hold your hand up in the air. You don’t want muscle pain, do you?

9. How to See everyone

Zoom comes with a feature called Gallery View which you can enable from the Settings area. It is not visible to everyone because there are certain conditions, such as an Intel Core i7 processor. I recommend the desktop client for that, and even with that, you can’t watch more than 49 participants. You also need a fast internet connection for this to work seamlessly.

Zoom out

There is too much going on in the world, and while most of the focus has been on COVID-19, other things are equally important. I suggest you zoom out and look at the bigger picture. Namely the side effects and not just in terms of economics. There is more to be found if you dig deeper.
